The four parts of a sincere apology
A report went to a client with last quarter’s figures. Here is the apology, part by part.
- 1Own itSay what happened and that it was your responsibility, in one sentence.
- 2Name the impactShow you understand what it cost them.
- 3Fix itGive the corrected work or a clear plan with a date.
- 4Prevent itExplain the change that stops it happening again.
Match the apology to the mistake
An over-long apology for a small slip feels awkward; a one-line apology for a serious error feels dismissive. Scale the length, channel and seniority to the impact.
Phrases that take ownership
Use “I” or “we”, name the action, and keep the apology free of conditions. These phrases do all three.
Apologising for your team
When someone on your team made the mistake, apologise as the team: use “we”, not a name. Blaming an individual in front of a client makes the whole organisation look weaker. Deal with what happened inside the team separately.
A week later
A short follow-up a week after the apology shows the fix held. It turns a mistake into evidence that you are reliable.
