Neutral language that holds up
A termination letter may later be read by a tribunal or court. Wording that is factual, specific and calm serves everyone.
- State the decision
- “I am writing to confirm that your employment will end on 3 June 2026.”
- Give the reason as fact
- “This follows unauthorised absences on 6, 13 and 27 May.”
- Refer to policy
- “This is in line with section 4.2 of the employee handbook.”
- Acknowledge contribution
- “We appreciate your work on the warehouse system upgrade.”
- Explain support available
- “Our employee assistance line remains open to you until 30 June.”
- Offer a contact
- “If you have questions about your final pay, please contact payroll on 020 7946 0222.”
Employment law differs between countries and US states, including rules on notice, final pay and the reasons you must give. Have a lawyer or HR adviser review the letter before it is sent.
Termination letter templates and legal guidance →Before the letter: the meeting
A termination letter confirms a decision already explained in person. The person should never learn they have lost their job by reading it. Hold a short private meeting first, with HR present, and hand over or send the letter straight afterwards.
- PrepareHave the letter, final pay figures and return-of-property list ready before the meeting.
- Tell them directlyIn the first minute: “We have decided to end your employment, effective today.”
- Explain the next stepsFinal pay, benefits, references and how to collect belongings.
- Give the letterSo they have every detail in writing to read later, calmly.
The conversation itself is covered in delivering bad news in person.
