Introducing two people
Three short emails. The first two are private; the third connects them.
Email 1 · private To: Ana
Hi Ana, I know someone you might like to meet: Tom Reed, who is rolling out route planning at Northline.Would you like me to introduce you? No pressure either way.
Email 2 · private To: Tom
Hi Tom, Ana Silva runs logistics at Brightside and has just been through the same route-planning project.Happy to introduce you if useful?
Email 3 · both said yes To: Ana, Tom
Subject: Introduction: Ana ↔ TomAna, meet Tom, who is leading route planning at Northline. Tom, meet Ana, who rolled out the same system at Brightside last year.I’ll leave you to it!
When someone introduces you
Reply within a day. Move the person who introduced you to Bcc so they don’t receive the rest of the conversation, and say you’ve done so.
Re: Introduction: Ana ↔ Tom Thanks, Priya (moving you to Bcc). Hi Tom, great to meet you. Priya mentioned you’re rolling out route planning at Northline. I’d love to hear how it’s going. Would 20 minutes on Thursday or Friday afternoon work? Best, Ana

One introduction, three tones
Formalto a new client’s director“Dear Ms Laine, I am the account manager who will look after Fieldnote’s project from 1 March. I would welcome a short call next week to confirm your priorities.”
Neutralto a new team“Hi all, I’m Sam, joining as Data Analyst on Monday. I’ll be working on the retention dashboards, so do come and say hello if you use them.”
Warmto a colleague in another office“Hi Priya! I’m Sam, the new analyst in Leeds. Ana said you’re the person to ask about the sales data; could I buy you a virtual coffee this week?”
How long should it be?
| Situation | Length | Must include |
|---|---|---|
| To a new team | 60 to 100 words | Your name, role, start date and what you will work on |
| To a client | 80 to 120 words | Your role on their account and one next step |
| Introducing two people | 80 to 150 words | Why they should meet, one line on each, and who should reply first |
| Cold introduction | 50 to 90 words | Why you are writing to them specifically, and one small ask |
For cold introductions, keep the ask small: a 15-minute call, not a partnership. The cold outreach introduction templates show the wording.
After you introduce them
Bow out of the threadOnce they have replied to each other, move yourself to Bcc so they can carry on without filling your inbox.“Thanks, Ana. Moving myself to Bcc so you two can find a time.”
If one person never repliesWait a week, then send one short nudge to that person only, never to both.“Hi Tom, just checking you saw my note introducing Ana. No pressure if the timing isn’t right.”
Check back laterA month on, ask how it went. People remember the person who connected them.“Did you and Ana manage to meet? I’d love to hear if it was useful.”
