Resignation letter templates

Whichever resignation letter templates you start from, the letter is the formal, written notice that you are leaving your job. It states your last day, thanks your employer and offers help with the handover, usually in three short paragraphs. It goes into your employment file, so it stays brief and gracious.

TWO WEEKS’ NOTICE MonTueWedThuFri 345671011121314 Letter handed inLast working day Ten working days to hand over your work
Two weeks is the US norm. In the UK and much of Europe, your contract sets the notice period, often one month or more; always check it first.

Work out your last day

Your notice period starts the day your employer receives the letter. Choose when you will hand it in and the notice your contract requires.

Notice period
Your last day Tuesday, 16 June 2026
Write this date in full in your first sentence: “My last day will be Tuesday, 16 June 2026.”

Three templates for three situations

3 June 2026 Dear Maria,
Please accept this letter as formal notice of my resignation from my position as Analyst. My last day will be Friday 14 June 2026.Thank you for the support and opportunities I’ve had over the past three years, especially the chance to lead the onboarding project.I’ll make sure all my work is up to date and will gladly help train my replacement before I leave.
Yours sincerely,
Lena Novak

The letter and the conversation

Tell your manager in person or on a call first, then hand over the letter. Each carries different information.

Saying why, or not

You do not have to give a reason in a resignation letter. If you do, keep it to one positive, factual sentence. The letter stays on your file and may be read by future employers checking your references.

SituationWhat to write
New job“I have accepted a position that will let me develop my career in data analysis.”
Study or retraining“I am returning to full-time study in September.”
Moving away“I am relocating to Manchester for family reasons.”
Unhappy at workNo reason needed. Raise concerns in an exit interview instead, if at all.

Offering a good handover

One sentence offering to help with the handover is the most valued line in a resignation letter. Then follow through: a handover email in your last week makes it concrete.

  • List your open projects with status and next step
  • Name who should take each one over
  • Share passwords and files through the proper channel
  • Introduce clients to your replacement
  • Leave your notes where the team can find them

If they make a counter-offer

Some employers respond with a better offer to keep you. Decide before you resign whether anything would change your mind. If not, a short reply keeps the relationship warm:

“Thank you, I really appreciate the offer. I’ve thought about it carefully, and my decision stands. I’d like to make sure the handover goes as smoothly as possible.”
