Resignation email templates

A resignation email, as these resignation email templates show, is a short, formal record of three facts: that you are leaving, your last day, and your thanks. Tell your manager in person first, then send it the same day.

Subject:Resignation: Sam Patel Dear Maria, Please accept this as notice of myresignation. My last day: Friday 27 June. Thank you for three great years andeverything I’ve learned on the team. I’ll prepare a full handover and helptrain my replacement. Best wishes, Sam Decisionand last day Thanksone sentence Handoveryour offer
The whole email fits on one screen. The first two lines are the ones HR will refer to later, so they must contain the decision and the date.

Who to tell, and in what order

Your manager should never hear the news second-hand. Follow this order on the day you resign.

  1. Step 1Your manager, in personBook a short private meeting or call. Say it in the first minute.
  2. Step 2The email, same daySend the written resignation straight after, so there is a dated record.
  3. Step 3HRYour manager or HR will confirm your last day and next steps.
  4. Step 4Your teamOnly after your manager agrees how and when to tell them.

Working out your last day

Your contract sets your notice period. Enter the date you will resign and your notice to get the last day to put in the email.

Your last dayChoose a date
A guide only. Contracts differ on whether notice starts the day you resign or the next working day, and whether it must end on a particular weekday. Check yours or ask HR.

Replying to a counteroffer

Your employer may offer more money or a new role to keep you. Decide in advance what, if anything, would change your mind. Then reply in writing.

Declining it Thank you for the offer, and for wanting me to stay. I’ve thought about it carefully, and my decision is final. I’ll make sure the handover goes smoothly before [last day].
Accepting it Thank you for the revised offer of [terms]. I’m pleased to accept and to withdraw my resignation. Could you confirm the new terms in writing by [date]?
